Booking a band: the checklist
Go through this list before you book a band. You’ll know which questions to ask the venue and what to agree with the band.
Times
- When can the band bring the gear in?
- When is the soundcheck, and is the room still empty then?
- When does the music start, and when does it have to stop?
- When does the stage need to be clear?
Space and stage
- A level, dry spot for four musicians and a drum kit.
- For an outdoor stage: a roof over the band.
- A short route from the car to the stage for loading in and out.
- Somewhere the band can leave cases and coats.
Power and sound
- Power at the stage: how many circuits are there, apart from the bar and the fridges?
- Is there a PA and an engineer, or does the band bring them?
- Is there a sound limiter? Set to what level?
- Lights on the stage, or at least enough to see the band.
Rules and paperwork
- Music licence for a public show (Buma in the Netherlands, SABAM in Belgium): does the venue have one, or do you arrange it?
- Outdoors: an event permit or a notification to the council, with finishing time and noise limit.
- The agreement with the band in writing: date, times, set length, fee and what happens if someone cancels.
On the night
- One contact person with a phone number the band can call on arrival.
- Parking for the band close by.
- Water on stage, and an agreement about food and drinks.
- The running order: speeches, buffet, prize-giving. We plan the sets around it.
